1. Introduction

DailyCue Ltd ("DailyCue", "we", "us", or "our") is committed to protecting the privacy and personal data of our users. This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you use the DailyCue platform, website, and related services (the "Service").

DailyCue is a visual, emotionally intelligent sales decision-support platform. It helps salespeople, SDRs, and agencies decide what to do next by surfacing relationship context, timely signals, and AI-generated nudges — not by storing or managing your sales pipeline.

This Privacy Policy applies to all users of the Service, including Sales Users, Agency Administrators, and SDR Candidates. By using the Service, you acknowledge that you have read and understood this Privacy Policy.

3. What Data We Collect

3.1 Information You Provide Directly

  • Account registration details: name, email address, role, and agency code (where applicable)
  • Subscription and payment information (processed and stored securely by Stripe; DailyCue does not store full payment card details)
  • Client information you manually add: client names, roles, companies, relationship notes, funnel stages, estimated deal values, and personal notes
  • User-written nudges and override reasons
  • Preferences: tone, notification settings, and other personalisation choices

3.2 Information from Connected CRM Platforms

When you connect HubSpot or Salesforce via OAuth, DailyCue accesses your CRM data in read-only mode. This includes:

  • Lead and contact records
  • Deal and opportunity data
  • Activity history (meetings, emails, calls, notes)

DailyCue does not write to or modify your CRM data. CRM data is used solely to generate context, signals, and nudges within the Service.

3.3 Information from Third-Party Signal Sources

DailyCue may retrieve publicly available information from approved third-party sources, including news APIs and professional networks (such as LinkedIn via approved data services), to generate signals relevant to your clients. This data is processed and summarised — not stored in raw form indefinitely.

3.4 Information Collected Automatically

  • Device and browser information (type, operating system, screen resolution)
  • IP address and approximate location
  • Usage data: pages visited, features used, nudge interactions (selected, activated, completed, ignored), and session duration
  • Cookies and similar tracking technologies (see Section 10)

5. AI Processing and the Learning System

DailyCue uses AI services from OpenAI, Anthropic (Claude), and Perplexity to generate nudges and contextual suggestions. Your data is sent to these providers solely for the purpose of generating outputs within the Service.

DailyCue's lightweight learning system records which nudges you select, reject, complete, or ignore — along with any override reasons you provide. This data is used exclusively to:

  • Reduce repetitive or irrelevant nudge suggestions
  • Improve the contextual relevance of future nudges
  • Respect your stated preferences and judgement patterns

The learning system does not create performance dashboards, score individual users, or enable managerial surveillance. Learning data is never used for gamification or behavioural ranking of any kind.

6. Data Sharing and Disclosure

We do not sell your personal data. We share data only in the following circumstances:

  • AI Service Providers: Data necessary for nudge and signal generation is transmitted to OpenAI, Anthropic, and Perplexity under their respective data processing agreements.
  • Payment Processor: Stripe processes subscription payments. DailyCue does not store full payment card details.
  • CRM Platforms: Authentication tokens are stored to maintain read-only CRM connections. No user data is written back to your CRM.
  • Signal Sources: Queries are made to news APIs and approved LinkedIn data services. These are outbound requests; your personal data is not shared with these sources.
  • Analytics Providers: We use PostHog for product analytics and Sentry for error monitoring. Data shared with these providers is limited to usage events and technical diagnostics.
  • Agency Administrators: If you are an SDR Candidate or placed SDR, your agency may receive limited activity data, including sign-up status, activation status, and whether you are actively using the Service. Agencies do not have access to your client data, nudge choices, or personal notes.
  • Legal Requirements: We may disclose data when required by law, regulation, or valid legal process, or to protect the rights, safety, or property of DailyCue or others.

7. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes described in this Privacy Policy, or as required by law.

  • Account data is retained for the duration of your active subscription and for up to 12 months following account closure, unless you request earlier deletion.
  • CRM-mirrored data is refreshed on a scheduled basis and is not retained beyond its operational usefulness within the Service.
  • Nudge interaction data (selections, rejections, completions) is retained to support the learning system and is anonymised or deleted within 24 months of account closure.
  • Payment records are retained as required by applicable financial regulations.
  • Signal data decays and expires automatically based on relevance scoring and freshness rules.

8. International Data Transfers

DailyCue is operated from the United Kingdom. Some of our third-party service providers, including AI providers and infrastructure partners, may process data outside the UK. Where data is transferred internationally, we ensure that appropriate safeguards are in place, including Standard Contractual Clauses or equivalent mechanisms approved under UK data protection law.

9. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit and at rest
  • OAuth-based authentication for CRM connections with secure token storage
  • Role-based access controls within the platform
  • Regular security reviews and monitoring
  • Structured logging and decision pipeline traceability for auditing purposes

While we take reasonable precautions, no system is completely secure. We cannot guarantee absolute security of your data.

10. Cookies and Tracking Technologies

DailyCue uses cookies and similar technologies to support core functionality, authentication, and analytics. We use:

  • Essential Cookies: Required for authentication, session management, and core platform functionality. These cannot be disabled.
  • Analytics Cookies: Used via PostHog to understand how users interact with the Service and to improve product quality. These can be managed through your browser settings or our cookie preferences.

DailyCue does not use advertising cookies or share cookie data with advertising networks.

11. Your Rights Under UK GDPR

Under the UK General Data Protection Regulation and Data Protection Act 2018, you have the following rights:

  • Right of Access: You may request a copy of the personal data we hold about you.
  • Right to Rectification: You may request correction of inaccurate or incomplete data.
  • Right to Erasure: You may request deletion of your personal data, subject to legal and contractual obligations.
  • Right to Restrict Processing: You may request that we limit the processing of your data in certain circumstances.
  • Right to Data Portability: You may request a machine-readable copy of data you have provided to us.
  • Right to Object: You may object to processing based on legitimate interests.
  • Right to Withdraw Consent: Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

12. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that a child's data has been collected, we will take steps to delete it promptly.

13. Agency-Specific Data Practices

Recruitment and SDR agencies using DailyCue receive limited, aggregated reporting on candidates they have invited. This reporting includes:

  • Number of candidates invited
  • Percentage of candidates who are actively using the Service
  • Number of candidates placed
  • Number of candidates thriving (defined as 30 or more days of active use)

Agency reporting is delivered as an automated monthly email. There are no real-time performance dashboards. Agencies do not have access to individual client records, nudge selections, or personal notes belonging to SDR users.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or the Service itself. We will notify you of material changes by email or through the Service at least 14 days before they take effect.

We encourage you to review this Privacy Policy periodically. Your continued use of the Service following any changes constitutes your acceptance of the updated policy.
